TeamBench's data retention policy is designed to balance your need for persistent access to review history with your right to control your data. Understanding what data is retained and for how long helps you make informed decisions about how you use the platform.

Active account data -- your profile, organization settings, reviewer configurations, knowledge bases, and review history -- is retained for as long as your account is active. This ensures you have continuous access to your quality metrics, historical scores, and the reviewers you have built. There is no automatic expiration of your data while your account is active.

Review data includes the content you submitted, the scores received, the AI feedback, and any Auto-Improve versions generated. This data is part of your review history and is retained to support quality tracking over time. Being able to compare scores across months or quarters is a valuable capability for teams focused on continuous improvement.

Chat conversation data is retained similarly to review data. Your chat history, including messages sent and received, is stored within your organization and accessible to team members. This provides a record of content discussions and editorial decisions.

Knowledge base documents are retained for as long as the knowledge base exists. You can delete individual documents or entire knowledge bases at any time. Deleting a knowledge base removes the uploaded documents and their processed embeddings from the system.

When an account is deleted, all associated data is removed, including reviews, chat history, reviewer configurations, knowledge base documents, and personal profile information. This deletion is permanent and cannot be reversed. We recommend exporting any data you wish to keep before requesting account deletion.

When a team member is removed from an organization, their personal profile association is removed, but their contributions to the organization (reviews they submitted, reviewers they created) remain with the organization. This ensures continuity -- removing an employee does not erase the quality history they contributed to.

For organizations with specific retention requirements -- either longer retention for audit purposes or shorter retention for regulatory compliance -- contact the TeamBench team. We can discuss options for custom retention policies that align with your organizational and regulatory requirements.

Temporary data, such as content being processed during a review, is held in memory only for the duration of the processing request and is not persisted beyond what is stored as part of the review results. Content is not logged separately from the review record.
