The case study format is a persuasive content structure that tells the story of a customer's success through a problem-solution-results narrative arc. The standard structure includes: a headline featuring the key result (quantified when possible), a customer profile (industry, size, context), the challenge (specific problems the customer faced before), the solution (how the product or service was implemented), the results (measurable outcomes with specific numbers), and a customer quote (authentic voice lending credibility). Case studies operate at the bottom of the marketing funnel — they address the prospect's most critical question: "Has this worked for someone like me?" Effective case studies prioritize specificity over generality (exact numbers, named roles, real timelines), focus on the customer's story rather than the product's features, include honest challenges encountered during implementation (which builds credibility), and target specific industries or use cases that match priority prospect segments. The format extends beyond written documents to include video testimonials, interactive web pages, presentation decks, and one-page summary sheets for sales enablement.

What results should case studies highlight?

Lead with the most impressive, quantified result that aligns with your target audience's primary goal. Revenue increases, cost reductions, time savings, and efficiency improvements are universally compelling. Include 3-5 specific metrics — both primary outcomes (the main result) and secondary benefits discovered during the engagement. Percentage improvements are more relatable than absolute numbers for most audiences. Always include timeframes to set realistic expectations.

How do you get customers to participate in case studies?

Ask at the moment of peak satisfaction — right after a successful launch, a positive review, or when they share a win with your team. Minimize their effort: offer to write the entire case study based on a 30-minute interview and have them review for accuracy. Offer value in return: promotion of their brand, a co-branded piece they can use, or early access to a new feature. Make it easy to say yes and difficult to say no.

How many case studies does a company need?

At minimum, one case study per primary buyer persona and industry vertical you target. A B2B company selling to three industries with two buyer personas per industry needs at least six case studies. As the library grows, add case studies for specific use cases, company sizes, and geographic regions. Most mature B2B companies maintain 15-30 active case studies, retiring outdated ones as newer examples become available.
