Website Copy Review Checklist: QA Every Page Before It Goes Live

A comprehensive website copy review checklist covering UX writing, SEO, brand voice, accessibility, and conversion. Ensure every page meets quality standards.

Website copy is the hardest content to get right because it serves multiple audiences simultaneously. A landing page must satisfy the first-time visitor looking for answers, the returning prospect comparing options, the search engine crawling for relevance signals, and the brand team enforcing voice guidelines — all in 300 words or fewer.

Most website copy goes live with only a cursory review. Someone checks for typos, maybe tests the links, and publishes. The result is pages that look professional but underperform because they fail on clarity, persuasion, or search optimization.

This checklist ensures every page gets the review it deserves.

The Website Copy Review Framework

Review website copy in five passes, each focused on a different quality dimension. Trying to catch everything in one read is how mistakes slip through.

Pass 1: Clarity and Comprehension

  • Can a first-time visitor understand what this page is about within 5 seconds?
  • Is the primary headline clear and specific (not clever at the expense of comprehension)?
  • Does the subheadline expand on the headline and explain the value proposition?
  • Are all industry jargon and acronyms either explained or removed?
  • Can the page be understood by someone who has never heard of your company?
  • Does each section have a clear purpose that is obvious to the reader?

Pass 2: Persuasion and Conversion

  • Is there a clear, single primary call to action?
  • Does the CTA button text describe the action and outcome ("Start free trial" not "Submit")?
  • Are benefits stated before features?
  • Is social proof present (testimonials, client logos, statistics)?
  • Are potential objections addressed on the page?
  • Does the copy create urgency or motivation without being manipulative?
  • Is the value proposition differentiated from competitors?

Pass 3: Brand Voice and Tone

CheckQuestion to Ask
Voice consistencyDoes this sound like our brand? Could you identify the company with the logo removed?
Tone appropriatenessIs the tone right for this page type? (Product page vs. support page vs. about page)
TerminologyAre product names, features, and categories spelled and capitalized consistently?
Messaging alignmentDoes the copy align with current marketing messaging and positioning?
Competitor differentiationDoes the copy inadvertently use competitor language or positioning?

Pass 4: SEO and Discoverability

  • Does the page target a specific primary keyword?
  • Is the primary keyword in the H1 heading?
  • Does the meta title include the keyword and stay under 60 characters?
  • Is the meta description compelling and under 160 characters?
  • Are headings structured hierarchically (one H1, logical H2/H3 nesting)?
  • Does the page include internal links to related pages?
  • Are images optimized with descriptive alt text?
  • Is the URL slug clean, descriptive, and keyword-relevant?

Pass 5: Technical and Accessibility

  • All links work and point to correct destinations
  • Forms function correctly and show appropriate success/error messages
  • Images load at appropriate sizes (not oversized files)
  • Page loads in under 3 seconds
  • Content is readable on mobile without horizontal scrolling
  • Color contrast meets WCAG AA standards (4.5:1 ratio for normal text)
  • Interactive elements are keyboard accessible
  • Screen readers can navigate the page structure logically

Page-Specific Checklists

Homepage

In addition to the general checklist:

  • Above-the-fold content clearly communicates what the company does and for whom
  • Navigation is intuitive and uses language the audience understands
  • Key pages (pricing, features, about) are accessible within one click
  • The page addresses at least 2 audience segments without confusing either

Product or Feature Pages

  • Each feature has a clear benefit statement (not just a description)
  • Technical specifications are accurate and current
  • Screenshots or visuals are up to date and match the current product
  • Pricing or pricing link is easily accessible
  • Comparison with alternatives is fair and accurate

Landing Pages

  • The page headline matches the ad or link that brought the visitor
  • Only one CTA is presented (no navigation distractions)
  • Form fields are minimal (only what is truly necessary)
  • Trust elements (security badges, privacy link, testimonials) are near the form
  • The page loads fast enough that paid traffic is not bouncing before it renders

About and Company Pages

  • Information is current (team members, office locations, company stats)
  • The story is told from the customer's perspective, not just the company's history
  • Contact information is accurate and accessible

Common Website Copy Mistakes

Headlines that prioritize cleverness over clarity: "Unlock Your Potential" tells visitors nothing. "AI Content Review for Marketing Teams" tells them exactly what you do.

Feature-first copy: "Our platform uses machine learning algorithms" is a feature. "Get consistent content quality without adding headcount" is a benefit. Lead with benefits.

Missing CTAs: Pages with no clear next step lose visitors. Every page should guide the reader to a logical next action.

Inconsistent voice across pages: The homepage sounds professional and polished. The support page sounds robotic and technical. The blog sounds casual. Visitors notice.

Outdated content: "Award-winning 2023 platform" in 2026 does not inspire confidence. Audit for stale references quarterly.
